Accounts Payable/ Data Entry Clerk

PRIMARY FUNCTION/PURPOSE

Provide accounting support to Children’s Rescue Fund locations and programs for efficient operation. Perform data entry and clerical functions to the accounting team as assigned.

ESSENTAIL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned.

PRIMARY RESPONSIBILITIES:

1.     Review all invoices and prepares check requests and purchase requisitions to assure compliance with administrative procedures. Be able to accurately code all Expenses & Invoices in preparation for data entry into Company Accounting Software (MIP).

2.     Responsible for Monthly Expense Reports required from current funding sources.

3.     Provides accounting support to the Executive Management and Financial Management team       

4.     Maintain logs of mail and fiscal records to ensure accurate data is available for analysis.

5.     Maintain bank reconciliation supporting documents and upkeep all bank binders for all sites

SECONDARY RESPONSIBILITIES:

1.     Facilitate effective communication with other staff within an interdisciplinary context, participate in and contribute to staff meetings and the development of policies and procedures under the direction of the Comptroller.

2.     Participate in training and staff-development activities to acquire and maintain both interpersonal and operational skills necessary for successful job performance.

3.     Maintain required job skills and core professional competencies.  Attends and participates in required educational programs and staff meetings to ensure professional development.

4.     Will assist Director’s during annual audit and in the production of audit schedules.

5.     Assist with special interdepartmental assignments as assigned

PRINCIPAL RELATIONSHIPS:

Frequent contact with staff within Department.

Collaborative working relationship with external and internal financial staff members.

Interact with other departments or divisions to ensure cooperation and the delivery of proper services.

MINIMUM QUALIFICATIONS:

Education: High School Diploma with AP or data entry experience or Associate Degree in Accounting

Experience: Detail oriented with proficient with computer.  Accounting functions in a non-profit office setting preferred.  Knowledge of office systems; MS-Office preferred which must include working with Excel. Spreadsheets, etc. MIP Accounting Software a plus
